CHPHC Privacy Policy

1. Introduction

The Charlotte Harbor Parrot Head Club, Inc. respects your right to privacy. This Privacy Policy explains in detail the types of personal information we may collect about you when you interact with us.  It also explains how we will store and handle that personal information, how we keep it safe, how you can exercise your privacy rights and how we combine data across our business to help serve you better.

The privacy of our members and guests is of extreme importance to us. This privacy policy document is designed to advise you about how we collect, use, and protect the Personally Identifiable Information (hereinafter defined) that you provide to us through our website. B y visiting this website, you are accepting the practices described in this Privacy Policy.

2. Who is Charlotte Harbor Parrot Head Club, Inc?
Charlotte Harbor Parrot Head Club, Inc. is a Non Profit Charity Giving Organization with 501 (c)(3) status as determined by the IRS. Our mission is to assist in community and environmental concerns and provide a variety of social activities for people who are interested in the music and writings of Jimmy Buffett and other TropRock Musicians and the Tropical Lifestyle they personify in their music.

3. When do we collect personal information?
MEMBERS
All Membership Data is maintained within our Members Only (Database) at https://Members.CHPHC.Com. (aka The Parrot Connector)
We collect personal information for members as defined in our Club ByLaws, when they;
- Join our Club by paying yearly dues on our Membership Website (members.chphc.com), aka The Parrot Connector
- Join our Club by paying yearly dues by completing a paper version of the Membership Form
- Make any updates to Member Information either online, in person, letter or telephone call to our Membership Director.
When members join our club or renew their membership, they are giving us permission to email Membership reminders, Club Notice and the club Newsletter "The Beakon".
NON-MEMBERS
- Join one of our mailing lists by opting in with your email address
- Purchase Guest Tickets for any of our events
Non Members are contacted via email only when the contact is specific to the list they joined (i.e. guest to to a specific event)

4. What personal information do we collect and why?

In order to maintain our membership database, as defined in our ByLaws, members must provide their name, email address, telephone number and mailing address. We use this information to create Member Accounts and provide our Members access to their online account in order to manage your membership.

We DO NOT Collect or Save ANY Payment or Financial information on our websites

5. Information We Collect Automatically

As part of running a Club, there are aspects of data which are collected automatically due to the membership software and payment processing mechinisms we have in place.

When you join our club, renew your membership, purchase event tickets, purchase club merchandise, join any of our mailing lists, or register as a guest at one of our events, we will automatically receive your IP Address - this is your unique internet address associated with your internet service provider. We use this to prevent fraud by ensuring usernames and passwords for our members are not shared publicly. We also use the IP information occasionally as evidence of a user's identity in the event of PayPal claims and disputes.u00a0 We also use IP addresses to allow our Security Software to advise us of any Fraudulent attempts to access our websites and databases.

Our Email Provider Software also retrieves general geographical information about you when you opt in based on your IP address. This is only detailed down to a regional / State level. We do not use this information for any purposes whatsoever - it's simply necessary to allow our system to run properly.

We also collect information related to your browser and web pages visited on our websites.  Some of this information is collected via cookies. This information is used to analyze website visitor behavior and ensure our pages can be viewed by as many people as possible. This information also assists us in analyzing email delivery and identify delivery problems.

We only use cookies to serve you better. The one cookie we use is Google Analytics.

The Google Analytics cookies enable us to track your usage of our websites and pages. They don't store any personal data and are used solely to track user behavior across our websites to analyze usage and to make recommendations for changes to the websites.

7. How Do We Keep Your Personal Data Safe and Secure?

All data is stored on our own dedicated server protected with the latest anti-virus and anti-malware software and technology. All of our sites have the secure SSL layer installed for added security and peace of mind.

8. Data Retention

We retain all data on you when there is justification for doing so - i.e. you are an active member, active customer. If you are no longer A Member In Good Standing and your membership dues are 6 months past due, we will delete your data from our membership database.  You may request deletion at any time of all data by posting a ticket on our Support Desk: https://chphc.com/support/

9. Updates to this Privacy Policy

We do make updates to this policy over time as our business and the internet technological landscape changes. When we do so we will try our utmost to notify you. Also please see the "Last Updated" date at the bottom of this document.

10. Your Data Protection Rights

You can object to our usage of your data or seek to restrict it by contacting us also.

You can opt out from any or all of our emails at any time by clicking the Unsubscribe link present at the bottom of every email. Please understand, as a member, when you choose to unsubscribe from one of our lists, you will be removed immediately from that list and will not receive any additional email from the selected list. Our club maintains 2 primary lists:u00a0 Membership Information and Newsletters.  At other times, we will have lists that are specific to events or products.
When you unsubscribe from all of our lists, or file an email Spam report, we are legally bound to NOT EMAIL YOU AGAIN, even if it is in regards to your membership status.
